Direct deposit is an essential convenience for employees, offering a secure and efficient method to receive their paychecks. For businesses partnering with Payroll Partners, understanding how to utilize the employee direct deposit enrollment form and system is crucial for smooth payroll processing. This guide will walk you through the process of entering direct deposit information in both Evolution Classic and Evolution Payroll, ensuring your employees are paid accurately and on time.

Setting Up Direct Deposit in Evolution Classic

Evolution Classic, the desktop version of the Payroll Partners system, provides a straightforward interface for managing employee direct deposits. Follow these steps to enroll an employee in direct deposit:

  1. Navigate to the Employee Section: On the left-hand side menu, locate and click the “Employee” button to access employee-related functions.

  2. Access Scheduled E/Ds: From the Employee dropdown list, find and click on “Scheduled E/Ds”. This section manages scheduled earnings and deductions, including direct deposits.

  3. Select the Employee: A list of employee names will appear. Locate the employee for whom you need to set up direct deposit and double-click on their name to open their profile.

  4. Open the Direct Deposits Tab: In the employee profile, a series of tabs will be visible near the top of the screen. Click on the “Direct Deposits” tab to access the direct deposit settings.

  5. Enter Bank Details: Under the “Direct Deposit Detail” box, input the employee’s bank routing number, also known as the ABA number, and their bank account number. Double-check these numbers for accuracy to prevent errors.

  6. Specify Account Type: Choose the correct “Account Type” from the dropdown menu. Options typically include checking, savings, or money market accounts. Select the one that corresponds to the employee’s preference.

  7. Confirm Prenote Status: Ensure the “In Prenote” section is set to “No”. Prenoting is a test process, and for initial setup, it should be bypassed unless specifically required.

  8. Save Direct Deposit Details: Click the Green Plus button located at the top of the page. This action saves the entered direct deposit information and redirects you to the “Details” tab.

  9. Assign Earning/Deduction Code: In the “Details” tab, under the “Earning/Deduction Code” box, select “D01”. This code is typically designated for direct deposit earnings or deductions.

  10. Link to Destination Details: In the third column to the right, under the “Destination Details” box, click on the field labeled “EE Direct Deposit”. A dropdown menu will appear displaying the direct deposit information you just entered. Select the correct account to link the D01 code to the employee’s direct deposit.

  11. Finalize and Save: Click the green save (checkmark) button at the top of the page to save the details on the current screen. Immediately after, click on the green button with the coins and plus sign. This second save button is crucial as it permanently saves all changes made to the system.

  12. Direct Deposit Activation: Once both save actions are completed, the employee’s direct deposit account is now active and will be utilized in the payroll process.

Setting Up Direct Deposit in Evolution Payroll (Online)

Evolution Payroll, the online version, offers a similarly user-friendly approach to setting up employee direct deposits. Here’s how to do it:

  1. Access Evolution Payroll: Begin by signing into Evolution Payroll through the Payroll Partners website: www.payrollpartners.com.

  2. Navigate to Employees Tile: On the main dashboard, locate and click on the purple “Employees” tile on the left side of the screen to access the employee management area.

  3. Select Employee Profile: A list of employees will be displayed in the center of the page. Find the employee you wish to enroll in direct deposit and double-click on their name to open their profile.

  4. Go to Direct Deposit Settings: Within the employee profile, you’ll see a column of purple buttons on the left. Click on the “Direct Deposit” button to manage direct deposit information.

  5. Add New Account: Click on the “Add” button, located right above the horizontal purple line. This action will create a new row for entering direct deposit details.

  6. Enter ABA and Bank Account Numbers: In the newly appeared row, enter the employee’s ABA number (routing number) in the first column and their bank account number in the second column. Ensure accuracy to avoid payment issues.

  7. Verify Account Type and Prenote: The “Account Type” and “In Prenote” settings default to “Checking” and “No” respectively. If the employee requires a savings or money market account, click on the “Account Type” field and change it accordingly. Leave “In Prenote” as “No” for standard setup.

  8. Save Initial Details: Click the save button, which resembles a floppy disk icon. It’s located on the left side, above the purple buttons. This saves the basic direct deposit account information.

  9. Access Scheduled E/Ds Again: After saving, navigate back to the column of purple buttons and click on “Scheduled E/Ds”.

  10. Add Scheduled E/D Entry: Click the “Add” button again above the purple line. A new entry page will appear below the purple line.

  11. Select Code D01: In the “Basic” tab, under the “Code” dropdown menu, choose “D01” as the relevant code for direct deposit.

  12. Designate “Send To” as Direct Deposit: Select “Direct Deposit” from the “Send To” dropdown menu.

  13. Choose Specific Account: Selecting “Direct Deposit” will generate a new box underneath. Click on the arrow in this box and choose the correct bank account number from the dropdown list, linking the D01 code to the specific account.

  14. Final Save: Save the changes by clicking on the floppy disk icon once more. The employee’s direct deposit setup is now complete and will be effective for the next payroll run.
