To ensure a smooth and efficient process, we’ve outlined a clear, step-by-step guide for applying to rent a home with Key Partners Property Management. Please review the following steps carefully to prepare your application.
Step One: Apply Online
Initiate your application process by clicking here to access our online application portal. Each adult resident must complete a separate application. For sections that are not applicable to your situation (e.g., cosigner information if not needed), simply enter “NA.” Note that spouses are considered separate applicants, not cosigners.
To ensure fairness and security, owners require background and credit checks for all adult occupants. Therefore, if multiple adults will reside in the home, each individual must submit their own application using distinct email addresses, even for married couples. This is crucial for maintaining privacy and security throughout the application process. Please be aware that application fees are non-refundable.
Step Two: Payment for Background and Credit Check
Upon completing the online application, proceed to the payment section by clicking ‘Save and enter payment’. Here, you can securely pay for your credit and background check. Choosing the eCheck option offers a reduced fee of just $2. Ensure you have your checking account and routing number readily available for eCheck payment.
Step Three: Submit Background and Credit Check Authorization
After payment confirmation, each adult applicant will receive an email from MySmartMove.com, a trusted service, requesting authorization to complete the credit and background check. This email will be sent to the address provided in your application. If you do not receive this email promptly, please double-check the accuracy of your email address in your application for any typos, and also check your spam or junk mail folder.

Rental history and employment verification are essential components of the application review. If you lack prior rental history, be sure to clearly indicate this on your application.
Step Four: Rental History Verification
To expedite rental history verification, please print and sign the Request for Rental Information form. Present this form to your previous landlords for them to complete. The form requires the landlord’s signature and current contact information. Once completed, please send the form to us via fax or email. Verification of rental history for the past two years is mandatory for owner approval.
Step Five: Employment Verification
Following the application submission, please provide proof of income and employment. Email or fax copies of your two most recent pay stubs. If self-employed, please submit the first two pages of your tax returns for the last two years.
Step Six: Final Steps Upon Approval
Upon approval of your application, you will need to provide your Social Security number, bank information, and authorization for direct deposit of your security deposit return through our secure platform, Docusign.net. This step is necessary to finalize your move-in arrangements and ensure seamless access to your new home.

After these steps are complete and you’ve signed the lease, we will submit the final terms to the property owner for their ultimate approval. Once owner approval is secured, we will finalize the lease agreement, and you will receive a signed copy via email. It is important to understand that once the lease is executed by all parties, it becomes a legally binding document. You will then be responsible for all rent payments and other terms outlined in the lease agreement. Until the lease is fully signed and the deposit is paid, we must continue marketing the property for rent.
Deposit Payment:

General Information: Enhancing Your Rental Experience
MySmartMove.com Background and Credit Checks:
We utilize SmartMove to streamline the rental process, making your move-in experience faster and more convenient. Powered by TransUnion, a leading credit reporting agency, SmartMove ensures the secure handling of your personal information while facilitating a quicker application turnaround time. Importantly, using SmartMove to initiate your background and credit check is considered a “soft hit” and will not negatively impact your credit score.
After receiving the email link from Key Partners Property Management via SmartMove, you will create a secure account to review and approve the landlord’s requests for background and credit checks. This authorization allows SmartMove to verify your information and provide us with a leasing recommendation, credit report, and criminal history, all while protecting your sensitive personal identification and account numbers.
Lease Agreements, Deposits, Rent, and Fees:
Upon successful completion of the SmartMove process, you will receive your lease agreement electronically via email. All parties named on the lease must provide electronic signatures, eliminating the need for printing or faxing documents.
The security deposit, equivalent to one month’s rent, is due upon lease signing and after owner approval. Please note that according to state law, the security deposit cannot be used to cover your last month’s rent.
Your first month’s rent is due in full 4-5 business days prior to your scheduled move-in date. If your move-in date is after the first of the month, your second month’s rent will be pro-rated accordingly.
Rent is considered late if not received by the first of the month. While our online system may display a default late notice after the 5th, please disregard this automated message; rent is officially late after the 1st. Electronic rent payments typically take 3 business days to process.
Lease terms shorter than 12 months are subject to a $100 short-term lease fee.
Required Property Damage Liability Insurance:
All tenants are required to maintain property damage liability insurance throughout their tenancy. This insurance protects both the Landlord and Property Manager, providing $100,000.00 in coverage against damages to the property and third-party property. Covered perils include fire, smoke, explosion, accidental water discharge, and sewer backup. The cost for this mandatory coverage is $15.75 per month, per home.
Application Processing Timeframe and Costs:
Application processing typically takes between 1 to 5 business days. You will be promptly notified of the approval or denial decision. All adult applicants over 18 years of age must submit a complete, dated, and signed rental application, along with the non-refundable application fee of $45.00 per adult. Proof of income must be submitted concurrently with your application. Incomplete applications or those submitted without the application fee will not be processed. The application fee is non-refundable once the application process has begun.
Applicant Acknowledgements:
By submitting an application, you acknowledge that you have received and reviewed Key Partners Property Management’s Rental Acceptance Guidelines and have had the opportunity to inspect the property. We advise against applying if you have a history of bad credit (unrelated to isolated events like foreclosure or medical issues), negative references, prior evictions, or a criminal record (excluding driving citations).
Cosigners may be considered on a case-by-case basis after application processing. Cosigners must also apply and clearly indicate their cosigner status and the property they are applying for.
Providing false, misleading, or misrepresented information may result in application rejection or immediate eviction with deposit forfeiture and other penalties as outlined in the Lease Agreement. Please understand that your application is an offer to lease and is subject to Owner/Management approval or rejection.
Notification and Holding the Property:
Upon application approval notification, you must immediately place a lease deposit, equal to at least one month’s rent, with Key Partners Property Management to hold the property. Once your application is approved and the deposit is paid, the deposit becomes non-refundable. Due to high demand, we will not remove the property from the rental market without the required deposit. Failure to provide the deposit promptly may result in the property being rented to another applicant.
Properties are rented in “AS-IS” condition unless a prior written agreement for maintenance, repairs, or improvements exists. Any such requests must be submitted in writing with your application or agreed upon in writing before applying. Approved agreements will be incorporated into the lease or a lease addendum.
Written Lease Agreements and Key Furnishing:
All lease agreements must be in writing; verbal representations are not valid or accepted. In cases of multiple applications for the same property, the owner will select the first qualified applicant who meets all screening criteria, application requirements, and accepts the property in “AS-IS” condition.
Keys will be provided only after the lease and all required rental documents are fully executed by all parties and after all applicable rents, security deposits, and fees are paid. This application is preliminary and does not obligate Owner/Management to execute a lease or guarantee possession of the premises.
Payment Methods:
All initial funds, including the first month’s rent and security deposit, must be paid through https://npmgroup.managebuilding.com/. All subsequent rent payments and fees will be processed through https://npmgroup.managebuilding.com/Resident/apps/rentalapp/. Deductions for damages, cleaning, or other fees will be applied to the security deposit as per State Statute. Key Partners Property Management acts as an Agent for the Owner.
Pet Policies:
Pets may be permitted at a property owner’s discretion. Please consult our website or your leasing agent for specific pet policies for the property you are interested in. A non-refundable pet deposit of $350 per pet is required, with $50 of this amount being non-refundable. Some properties may require higher pet deposits depending on the number and type of pets. You will be notified of any higher deposit requirements at the lease offer stage. Please verify city-specific breed restrictions. Puppies and kittens under one year old are not permitted. Other pet restrictions may apply and are subject to change. A monthly pet fee of $10 per pet applies.
Rent and Utilities:
Quoted rents are applicable when paid on time. Tenants are responsible for all consumables and utilities, including trash and water. In some cases, water or trash services may remain in the owner’s name and be billed back to the tenant. Some services may be included in HOA associations. Monthly rent payments are made through https://npmgroup.managebuilding.com.
Keys are released on the first day of occupancy as stated in the lease agreement. Early key release may be possible with pro-rated rent payment and prior Owner/Management approval.
If your application is approved but not selected for your first-choice property, you may apply for other available properties without paying an additional application fee.

SmartMove Identity Verification:
SmartMove will verify your identity and provide the landlord with a leasing recommendation, credit report, and criminal history – all without disclosing your personal identification and account numbers.
Move-In and Move-Out Procedures
Move-In Inspections:
Move-in inspections are conducted at the rental property before your move-in date to document the property’s condition. We assess both the interior and exterior, noting the property’s condition prior to your occupancy.
Move-Out Inspections and Deposit Refunds:
A move-out inspection will be conducted after you vacate the property. If the property is returned in good condition and well-maintained, without any new issues beyond normal wear and tear (and not noted in the move-in inspection), you will receive a full refund of your security deposit. We strive to guide our tenants on how to ensure a full deposit refund.
Utilities Responsibility:
It is your responsibility to contact utility companies to transfer services into your name upon your move-in date. Key Partners Property Management is not responsible for utility transfers.
Upon move-out, please do not disconnect utilities; simply remove your name from the accounts.
Renter’s Insurance:
Tenants are responsible for obtaining renter’s insurance to cover the contents of the home. This coverage can typically be obtained through your insurance agent. Some property owners may also require “pet insurance.” Refer to our Renter’s FAQs for more information on renter’s insurance.
Renter’s Maintenance Responsibilities:
Unless otherwise specified in your lease agreement, lawn mowing and general lawn maintenance are the renter’s responsibility. You are also responsible for routine maintenance tasks such as changing furnace filters every three months, replacing light bulbs, smoke detector batteries, and general day-to-day upkeep.
Important Notes:
Please be aware that properties will remain available for showings to prospective tenants and applications will continue to be accepted until a lease offer is approved by the owner, a deposit is paid, and a lease is signed by all parties. Application fees are non-refundable.
Additional Fees:
- Rush Move-In Fee: $50 (for move-ins scheduled less than 4 days after lease signing).
- After-Hours Move-In Fee: $50 (Key availability/move-in times are Monday-Friday, 9 am to 5 pm. Alternative key pick-up options are available).
- Move-In Date Change Fee: $25.00 (Due to administrative time and potential overtime costs associated with changes).
