Direct deposit is an essential component of modern payroll systems, offering a secure and efficient method for employees to receive their pay. For businesses utilizing Evolution Payroll, understanding how to correctly set up employee direct deposit is crucial for smooth payroll processing and employee satisfaction. This guide provides a step-by-step walkthrough for setting up employee direct deposit forms within both Evolution Classic and Evolution Payroll platforms, ensuring your payroll operations are seamless and compliant.

Setting Up Direct Deposit in Evolution Classic (Desktop Version)

Evolution Classic, the desktop version of Evolution Payroll, offers a straightforward process for entering employee direct deposit information. Follow these steps to ensure accurate setup:

  1. Navigate to Employee Settings: Begin by clicking the Employee button located on the left-hand side menu. This action will display a dropdown menu. From this menu, select Scheduled E/Ds.

  2. Access Employee Direct Deposit Profile: A list of employees will appear. Locate the specific employee for whom you need to set up direct deposit and double-click on their name to open their profile.

  3. Open Direct Deposit Tab: Within the employee profile, you will see a series of tabs near the top of the screen. Click on the Direct Deposits tab to access the direct deposit settings.

  4. Enter Bank Details: In the Direct Deposit Detail box, you will find fields to input the employee’s bank routing number, also known as the ABA Number, and their Bank Account Number. Enter these details accurately.

  5. Specify Account Type: Choose the correct Account Type from the dropdown menu. Options typically include checking, savings, or money market accounts. Select the option that corresponds to the employee’s bank account.

  6. Confirm Prenote Status: Ensure the In Prenote section is set to No. Prenote, or pre-notification, is a test transaction and is generally not required for initial direct deposit setup.

  7. Save Direct Deposit Details: After entering all the bank details, click the Green Plus button, usually located at the top of the page. This action saves the entered direct deposit information and redirects you to the Details tab.

  8. Assign Earning/Deduction Code: Under the Earning/Deduction Code box in the Details tab, select D01 from the dropdown menu. This code is typically designated for direct deposit.

  9. Link to Destination Details: In the Destination Details box, locate the field labeled EE Direct Deposit. Click on this field to reveal a dropdown menu containing the direct deposit account information you just entered. Select the correct account.

  10. Final Save: Click the green save (checkmark) button at the top of the page to save the immediate changes.

  11. Permanent Save: Finally, click the green button with the coins and plus sign. This is crucial for permanently saving all changes made. Ensure both the green save button and the green coins button are clicked to finalize the direct deposit setup.

  12. Verification: After saving, the employee’s direct deposit account is now set up and will be utilized in the payroll process.

Setting Up Direct Deposit in Evolution Payroll (Online Version)

For users of Evolution Payroll, the online version, the process is equally user-friendly. Here’s how to enter employee direct deposit form details:

  1. Log into Evolution Payroll: Access Evolution Payroll through the official website, www.payrollpartners.com.

  2. Navigate to Employee Tile: On the dashboard, click on the purple Employees tile located on the left side of the screen.

  3. Select Employee Profile: A list of employees will be displayed in the center of the page. Find the employee you need and double-click their name to open their profile.

  4. Access Direct Deposit Settings: In the employee profile, a column of purple buttons will appear on the left. Click on the Direct Deposit button to proceed.

  5. Add New Direct Deposit Account: Click the Add button, positioned just above the horizontal purple line within the Direct Deposit section.

  6. Enter Bank Account Information: A new row will appear, allowing you to enter the ABA number (routing number) in the first column and the Bank Account number in the second column. Use the tab key to move between columns.

  7. Verify Account Type and Prenote: The Account Type and In Prenote fields are automatically defaulted to Checking and No, respectively. If the employee requires the deposit to go into a savings or money market account, click on the Account Type field and select the correct option.

  8. Save Initial Details: Click the save button, which resembles a floppy disk icon, located on the left side above the purple buttons. This saves the initial bank account details.

  9. Navigate to Scheduled E/Ds: After saving the direct deposit information, return to the column of purple buttons and click on Scheduled E/Ds.

  10. Add Scheduled E/D: Click the Add button again, located above the purple line in the Scheduled E/Ds section. A new entry page will appear below the purple line.

  11. Select D01 Code: In the Basic tab, under the Code dropdown menu, choose D01.

  12. Set Send To as Direct Deposit: Select Direct Deposit from the Send To dropdown menu.

  13. Choose Specific Account: A new box will appear beneath the Send To field. Click on the dropdown arrow and select the correct employee bank account number that you previously entered.

  14. Final Save: Save the complete setup by clicking the floppy disk save button once more. The employee’s direct deposit is now fully configured and ready for payroll processing.
